Key Responsibilities
1. Recruitment, Staffing, and Onboarding

• Assist in the administration of recruitment processes and interview logistics.
• Coordinate candidate communications and recruitment documentation.
• Support induction and orientation programmes for new employees.
• Prepare onboarding documentation and maintain recruitment records.
• Update recruitment tracking systems and databases.

2. Employee Records Administration 

• Maintain accurate employee personnel files and HR records.
• Update employee information within HR databases and filing systems.
• Prepare HR correspondence, including employment letters and confirmations.
• Ensure confidentiality of employee information.

3. Benefits, Compensation, and Payroll
• Assist in compiling payroll information and support payroll processing activities.
• Maintain leave, attendance, and timesheet records.
• Assist employees with benefit-related queries.
• Update payroll-related employee records promptly.
• Manage NASSIT by ensuring all staff have a correct NASSIT number and payment is credited to their account

4. Learning, Development, and Performance Management
• Coordinate training logistics and participant registrations.
• Maintain employee training records and databases.
• Monitor training attendance and support evaluation processes.
• Assist with learning and development reporting

5. Employee Welfare and Engagement
• Support staff welfare initiatives and employee engagement activities.
• Assist in organizing staff meetings, wellness programmes, and recognition events.
• Respond to employee administrative inquiries and welfare concerns.
• Support implementation of employee satisfaction initiatives.

6. HR Policy Development and Compliance
• Regularly review and update HR policies and procedures in line with changes in legislation and organizational needs.
• Ensure consistent implementation of policies across the organization through regular training sessions.
• Provide detailed reports to management on HR compliance and strategic recommendations.
• Ensure personnel documents are filed and maintained according to policy.
• Support compliance monitoring and HR audits.
• Assist with policy communication and employee awareness activities.
• Maintain statutory and compliance documentation.

7.  Administrative Responsibilities (Staff-Focused)
• Coordinate employee-related administrative support services.
• Assist with staff welfare arrangements and employee support programmes.
• Maintain attendance, leave, and employee documentation systems.
• Support employee communication initiatives.
• Assist in coordinating employee events and engagement activities.

8. Reporting and Analysis
• Maintain up-to-date personnel records.
• Prepare and present regular HR reports to the Senior Management Team (SMT) and MMT.
• Analyze data to inform organizational strategies and decision-making.

Experience 

  • • Minimum 2-3 years' experience in Human Resources or Administration.
  • • Experience maintaining employee records and supporting HR processes.
  • • Good understanding of HR administration principles.
  • • Strong communication and organizational skills.
  • • Proficiency in Microsoft Office applications.
  • • Experience working in an NGO or international organization (Desirable).
  • • Experience using HR information systems (Desirable).
  • • Knowledge of Sierra Leone labour legislation (Desirable).
  • • Ability to communicate effectively in Krio (Desirable).

 

Qualification

  •  
  • Bachelor's degree in Human Resource Management, Business Administration, or related discipline.
  • • Professional certification in Human Resources (Desirable).
  • • Additional training in labour law, payroll, or employee relations (Desirable).
